Navigation Groups:
Navigation Groups define access to the menu items
(Modules & Functions). Depending on how you assign
Navigation Groups to these Modules and Functions,
your users will have limited access to their menu items,
usually based on their roles in the company.
There are five default Navigation Groups in the system:
'System Admin' Group, 'Employee' Group, 'Supervisor' Group,
'Billing' Group and 'Payroll' Group.
The 'System Admin' group has system administrator's privileges,
and can see and use the entire system, including Timesheets,
Billing, Payroll, Calendar and System Admin modules.
The 'Employee' group has only the regular user
privileges, and can only see and use 'Enter Timesheets' function in
Timesheets module as well as the 'Appointment' function in Calendar module.
'Supervisor' group is defined for Supervisors who need the access to
'Approve TS' function, 'Mult-Approve TS' function, 'Approve VacForm'
function, and most of the functions in Expense Report module and
ECR modules.
Similarly. 'Billing' group is defined for Billing managers to gain
access to all functions in Billing Module, and 'Payroll' group is defined
for Payroll manager to access to all functions in Payroll module. You can
also create new Navigation Groups according to your own needs in accessing
to different sets of menu items.
We use the Navigation Groups to control and restrict the user's accessibility
and navigation capabilities. Basically, users can only SEE and
USE whatever modules and functions their group privileges allow.
Project Groups:
Project Groups define access to different Projects and Tasks.
An employee can only view and use limited Projects and Tasks
that his or her Project Group is assigned to.
i.e. Project Groups define which Projects and Tasks (Charge Codes) that a user is
assigned to work on. Basically, Project Group
decides what "Charge Codes" that a user can SEE and CHARGE to in his or her timesheets.
For instance, if you
have assigned a user "Employee A" to the Project Group "IT001-ProjGrp" which has been assigned
to project "IT001" and all its related Tasks, then Employee A will be able to see those
Charge Codes related to this project "IT001" on his "Enter Timesheets" page.
However, Employee A has no right to view or enter any hours on other Projects
that he is not assigned to.
Note that only the System Administrator has the right to assign group privileges.
When you open the "Enter Timesheets" page, you will see a list of Projects and
Tasks in the selection boxes. These are the Projects and Tasks belonging to those
Project Groups that you have been assigned to. Use "Project Manager" to create
Projects, Tasks, assign Charge Codes and assign Groups to Projects.
